There’s a particular kind of low-grade stress that many of us carry around without even naming it. It’s the nagging awareness that there are things you’ve been meaning to deal with the insurance policy you haven’t reviewed in three years, the will that reflects a life you no longer live, the beneficiary designations you updated mentally but never actually changed. It sits quietly in the background of your days, not urgent enough to act on, but present enough to weigh on you.
I call it “life admin clutter.” And in my experience, it affects almost everyone regardless of how organized, successful, or financially savvy they are.
The solution I recommend to clients and practice myself is deceptively simple: dedicate one full day a year to clearing it.
What Is a Life Admin Day?
A Life Admin Day is exactly what it sounds like. It’s a single, intentionally blocked day no meetings, no appointments, no distractions dedicated entirely to getting your financial, legal, and personal affairs in order. Think of it as an annual reset for your life on paper.
It’s not about doing everything perfectly. It’s about doing the things that matter, once a year, so that you can move through the rest of your year with clarity and confidence.
I started doing this myself several years ago, and the sense of relief I felt at the end of that first day was remarkable. Not because everything was perfect but because I finally knew where everything stood. That feeling of being on top of your own life is something I now actively encourage my clients to experience for themselves.
Why It Matters More Than You Think
We spend enormous energy planning for the future saving, investing, building but far less time maintaining the infrastructure that protects it all. Documents go out of date. Beneficiaries get forgotten. Insurance coverage drifts out of alignment with actual needs. Powers of attorney sit unsigned in a drawer.
These aren’t small oversights. In moments of crisis an unexpected illness, a sudden death, a major life transition the absence of up-to-date documents and a clear financial picture can create enormous stress and real financial consequences for the people you love most.
A Life Admin Day is how you prevent that. It’s one of the most loving things you can do for your family, and one of the most empowering things you can do for yourself.
What to Cover on Your Life Admin Day
Everyone’s list will look a little different, but here is a framework I share with clients as a starting point:
Financial Foundations
Review your account statements and confirm everything is current and accurate. Check that your RRSP, TFSA, and any non-registered accounts are still aligned with your financial plan. If you have a pension, revisit your most recent statement and flag any questions for your next advisor meeting.
Beneficiary Designations
This is one of the most commonly neglected areas in personal finance. Life changes marriages, divorces, births, deaths but beneficiary designations on RRSPs, TFSAs, life insurance policies, and pension plans don’t update themselves. A Life Admin Day is the perfect time to review every single one.
Estate Planning Documents
When did you last read your will? Does it still reflect your wishes, your family structure, and the people you trust? The same goes for your Power of Attorney for Property and Power of Attorney for Personal Care. If these documents don’t exist yet, putting them in place is a top priority — not just for you, but for the people who would need to step in on your behalf.
Insurance Coverage
Life, disability, critical illness, home, auto when did you last review your coverage levels? Life changes, and so do your needs. A quick review can reveal gaps you didn’t know existed, or coverage you’re paying for that no longer serves you.
Digital and Practical Affairs
In today’s world, a Life Admin Day should also include a review of your digital accounts passwords, subscriptions, and importantly, what happens to your digital assets when you’re gone. Consider compiling a secure document that lists key accounts, login information, and instructions for your executor or next of kin.
Your Personal Goals and Values
This one might surprise you but I always encourage clients to end their Life Admin Day by revisiting the bigger picture. What are you working toward? Has anything shifted in your priorities, your family situation, or your vision for retirement? Bringing this back into focus once a year keeps your financial plan connected to the life you actually want to live.
Making It Work: A Few Practical Tips
- Pick a date and protect it. Treat it like any other important commitment. Many of my clients choose a date that’s easy to remember the first week of January, their birthday month, or the start of a new season.
- Create a comfortable environment. Make it enjoyable a good coffee, a quiet space, everything you need within reach. Life admin doesn’t have to feel like a chore.
- Prepare in advance. A week before your Life Admin Day, start gathering documents statements, insurance policies, your will, any correspondence that needs attention. Having everything in one place makes the day far more productive.
- Don’t do it alone. Your Life Admin Day is also a good opportunity to loop in your advisor, your lawyer, or your accountant even just with a follow-up call or email to flag anything that needs professional attention.
